    This policy explains what Procexx collects, why, and who else processes it. If anything here is unclear, email us at info@orchestrator.ca.

    What we collect

    • Account details. Your name, email address and profile picture, from the account you sign in with.
    • Content you create. SOPs, process maps, checklists, templates and the text you enter to generate them.
    • Recordings. Audio and screen recordings you make, the transcripts produced from them, and screenshots captured during a screen recording.
    • Team information. Which teams you belong to, your role in them, and content shared with them.
    • Billing information. Your plan and subscription status. Card details are handled entirely by our payment provider and never reach our servers.
    • Usage counters. How much of your monthly plan allowance you have used.

    How we use it

    To run the product: storing your documents, generating SOPs from what you provide, transcribing recordings, sharing content with the teams you choose, enforcing plan limits, and sending you transactional email such as team invitations. We do not sell your data, and we do not use it for advertising.

    Service providers

    We use a small number of trusted third-party providers to operate Procexx. They process your data only to provide their service to us, and only as needed to run the product:

    • Cloud infrastructure providers, for hosting, storage and account sign-in.
    • AI processing providers, for generating SOPs and producing transcripts. Content you submit to those features is sent to be processed and a result returned.
    • A payment provider, for subscriptions and billing.
    • An email delivery provider, for transactional messages such as team invitations.

    If you need the specific providers for a vendor review or compliance process, contact us at info@orchestrator.ca and we will share them.

    Sharing

    Your content is private to you until you share it. Sending an SOP to a team makes it visible to that team once an admin approves it. Creating a share link makes that document readable by anyone holding the link, without signing in, until you revoke it.

    Retention and deletion

    You can delete your SOPs and recordings at any time; deleting a recording also removes the stored file. Problem reports submitted through the app are kept for 45 days and then deleted automatically. To request deletion of your account and its data, email info@orchestrator.ca.

    Your choices

    You can view and edit your profile, export your SOPs as PDF, Word or JSON, leave a team, and cancel your subscription from Settings. For access to or deletion of data you cannot reach yourself, contact us at the address above.

    Changes

    If this policy changes materially we will update the date at the top of this page and, where the change affects how your data is handled, tell you by email.
